Wondering how to create your brand-new Outlook email signature? You'll see that by following these simple steps, it's a piece of cake!
Here's how:
So, where are the signature settings on Outlook?
If you're using Outlook on a PC or Mac to send your emails, the way you set up your email signature will depend on the version of Outlook you're using.
First, create a new email.
Go to the “Message” tab, then click on “Signatures > Signatures”. Be careful here, because depending on the size of the Outlook window, the famous “Signature” button may be in different places.
Then click on “Select a signature to edit”, then choose “New”.
A dialog box opens, asking you to name your new signature. This is where the creativity begins. You can name your signature “The EPIC signature of Gustave le Petit, Grand Master DSI” or “signature v.1.1.0.2” - no one will be there to judge you.
Then, under “Edit signature”, you can write your name and the information you want, choose one or more fonts, their color and size, add links and opt for an alignment type.
Looking for something more elaborate? Bullets, tables or borders perhaps? No problem: open Word, prepare your design and copy and paste it into your Outlook signature. You can also add icons and links to your social networks if you like!
Then choose the email account to associate with your signature from the drop-down list. Decide whether this signature will be displayed by default on all new messages, or only on replies and forwards, or whether you prefer to select it manually.
Finally, click “OK” to save your signature. It will be automatically applied to all your future emails (if you wish to add it to an email already in progress, you'll have to add it by hand). And that's it, you're ready to impress the gallery with your brand-new signature!
First, go to the “View” tab, and in it select “Show settings”.
Then go to “Accounts > Signatures”.
Choose “New signature” and give it the prettiest name you can think of.
Then, using the editor, bring your signature to life! Enter the information you want, and choose the fonts, colors and styles to suit your needs.
Are you finished? Choose “Save”. Your brand-new Outlook signature is now saved. Now all you have to do is select it for your next mailings.
To do this: click on “Select default signatures” and choose your brand-new signature.
Save again, and you're done!
Your brand-new signature is now ready to be shared with the world!
If you mainly use Outlook via your web browser, creating an email signature is also just a few clicks away.
First, log in to your Outlook account.
Then click on the “Settings” icon (shaped like a cogwheel) in the top right-hand corner of the window.
Once in Settings, follow this path: Mail > Compose and reply. This will take you to the signature management screen.
From here, you can create a new signature, or modify an existing one. You can also add links, images or your own logo.
Are you the kind of person who can't stop keeping track of your emails, even from home? We've got the solution for you too. Here's how to set up your Outlook email signature on Android and iPhone.
Open Outlook: Open the Outlook application on your Android device.
Settings menu: Touch the hamburger menu (the three horizontal lines) at top left, then scroll down to access “Settings”.
Signature: Find the “Signature” section under your email account settings. This is the place to make changes to your signature.
Personalization: All that's left to do is personalize your signature using the Android editor (which lets you add text and basic formatting).
Open Outlook: Launch the Outlook application on your iPhone.
Go to Settings: Tap on your profile icon, then scroll down to find and select “Settings” (on the left).
Signature: In Settings, look for “Signature”. This is where you can customize your email signature.
Edit Signature: From this editor, you can modify your default signature or create a new one. You can enter text and use basic formatting.
Would you like to add a logo or banner image to your signature?
Then start by creating a new message or opening an existing signature.
Then click on “Signature” in the drop-down menu, then on “Signatures...”.
Select the signature to which you want to add the image. Click on the “Image” icon in the formatting toolbar. You can then import the photo, logo or banner you want.
If you have an online image, click on “Insert online images” and select the image you wish to use. Adjust its size and position as required.
If you want to add a link to your image, select the image and click on the “Hyperlink” icon to add the destination URL.
Don't forget to save your signature once you've added the image.
(These steps may vary slightly depending on the version of Outlook you're using).
But be careful! To ensure that your image or logo has the desired impact, make sure that the image is adapted to the signature format and doesn't disturb the recipient's reading. Also check that your image is of good quality for a professional presentation.

Does your company have a large number of employees? Then solutions for standardizing and automatically inserting signatures could eliminate most of the headaches inherent in creating and managing email signatures.
With Letsignit (that's us!), you can automate the creation and deployment of your employees' email signatures. Once you've installed our solution, everything can be managed from a single interface, in just a few clicks! It's (almost) magic!
Yes, with the 'Campaigns' offer, it is possible to track the number of clicks on the email signatures of all your employees in the 'Statistics' area of the platform.
You can then access a detailed or global view of the number of clicks on the email signatures of each employee. You can use the search option to target a specific signature or a given period. Finally, you have the possibility to export all statistics to an Excel document.
If you launch campaigns with banners inserted in your email signatures, you can also access their performance via this same space.
With Letsignit, you can easily add social network icons in your collaborators' email signatures and link to your company pages. Also, our "attributes" feature allows you to manage personalized URLs for each of your collaborators such as their individual LinkedIn profile.
And that's not all: you can add links to an appointment-setting application, allow your customers to leave reviews easily, and integrate our 'Chat on Teams' widget to let anyone start a discussion via Microsoft Teams chat.
It’s up to you! As an administrator of the Letsignit platform, you choose whether or not to grant modification rights to your employees. These permissions are managed on an attribute-by-attribute basis, which means that you can decide to allow the employee to change their phone number, but not the address of your premises, for example.
This feature applies to all attributes in your directory, including custom attributes created on Letsignit. When your employees change one or more attributes, your directory is obviously not affected.
It often happens that employees make their email signature their own: custom format, bad fonts, colors inconsistent with the brand standards... all of this has an impact on your brand!
A consistent visual identity is considered authentic and outperforms a perceived weak one by 20%. And, your customers are 2.4 times more likely to buy your products.
With Letsignit, take back control over your brand identity by standardizing all your email signatures. Our tool has many features that allow you to customize your signatures by department, by audience or by subsidiary. Not to mention the possibility of carrying out campaigns within your email signatures thanks to our Campaign offer.
What is the user experience like for our employees?
In both cases:
In short, they have autonomy in their email signature, but you keep control on the field, signatures, and banners they can edit or use.
With our "multi-signature" feature, your employees can benefit from multiple email signatures. No technical manipulation is required. Thanks to our Add-in for Outlook or the desktop app, they can change their email signatures as they wish with just a few clicks.

Everything has been thought of to go further in the personalization process based on the recipient of your emails.
