How to Create a PowerPoint Theme: A Quick Guide

By
Letsignit

Lifehacks really do make a huge difference. For example, knowing how to create and apply a PowerPoint theme is a simple skill that can save you a tremendous amount of time while strengthening your communication. This quick guide tells you everything you need to know about this useful skill.

What Is a Theme in Microsoft PowerPoint?

Definition

When preparing a PowerPoint presentation for your company, have you ever spent hours manually matching the fonts and colors on every slide? That's exactly the kind of headache a PowerPoint theme can help you avoid!

Essentially, a theme is a collection of visual settings for your presentation. It brings together a predefined set of design rules that are automatically applied throughout your slide deck:

  • A color palette: 12 theme colors, including text and background colors, six accent colors, and two hyperlink colors.
  • A font pairing: one font assigned to headings and another for body text.
  • A graphic style: a set of visual effects for shapes, lines, and charts, such as shadows, reflections, and 3D effects.

What Is a PowerPoint Theme Used For?

Using a well-designed theme can completely transform the way you work!

First, it ensures visual harmony — and therefore consistent branding — from the beginning to the end of your presentation. No more random font changes or slightly different shades of blue from one slide to another.

A theme is also a major time-saver. Whenever you add a shape, table, or heading, Microsoft PowerPoint automatically applies your brand's visual settings, saving you hours of manual formatting.

Finally, a theme helps you project a polished, professional image to clients, colleagues, and partners. Because effective communication is also about the smallest details, from harmonious typography to a consistent color scheme!

What Is the Difference Between a PowerPoint Theme and a Template?

These two concepts are often confused, but they serve different purposes.

A theme (.thmx) primarily defines the visual identity of a presentation: colors, fonts, and graphic effects. It determines the overall look and feel of your slides, but does not, on its own, contain presentation content or a series of ready-to-use slides.

A template (.potx) goes a step further. It is a preconfigured, reusable presentation that can include a visual theme as well as predefined slide masters and layouts, placeholders for text and images, and potentially example slides such as a title slide, agenda, or case study.

In simple terms: a theme defines the look, while a template provides a ready-to-use structure.

A similar distinction between visual identity, themes, and templates can be found in other presentation and collaboration tools, such as Google Slides, although the formats and features are not exactly the same.

How to Add Themes in PowerPoint

If you want to expand your collection of visual styles, you have several options:

  • Browse the built-in library: go to the Design tab on the ribbon. PowerPoint displays a wide selection of ready-to-use designs, each with several variations you can apply with a click.
  • Import an existing theme: if you have downloaded a PowerPoint theme online or received one from a partner, click the drop-down arrow in the Themes gallery and select Browse for Themes. Then simply select the .thmx file stored on your computer.
  • Apply your company's brand guidelines: many organizations provide an official theme that can be saved in the dedicated Office templates folder. Once installed in the appropriate location on your computer, it appears directly under the Custom section in PowerPoint.

How to Change a Theme in PowerPoint Slides

Want to give an existing presentation a fresh new look by changing its theme? It's easy!

You can:

  • Apply a theme to the entire presentation: in the Design tab, browse through the available options and click the thumbnail of your choice. Your entire slide deck will instantly adopt the new look.

Or

  • Apply a theme to selected slides only: select the slides you want to modify in the navigation pane on the left, go to the Design tab, right-click the theme thumbnail you want to use, and select Apply to Selected Slides.

One thing to keep in mind: if you have manually changed the color of text or a shape from the Home tab instead of using the theme colors, PowerPoint may not update those specific elements when you change the theme. To avoid this, always use the theme's dynamic colors whenever possible and minimize manual formatting.

How to Customize a PowerPoint Theme

Have you found a theme you like but still want to change certain elements, such as the fonts? You can customize an existing design to suit your needs in just a few clicks:

  • Change the colors: under the Design tab, in the Variants group, click the drop-down arrow, select Colors, then Customize Colors. You can enter the exact RGB values from your brand guidelines.
  • Change the fonts: in the Variants drop-down menu, select Fonts, then Customize Fonts to define the heading and body fonts.
  • Change the background: adjust the background style using the dedicated options, again under Variants, by selecting Background Styles. You can apply a subtle solid color, an elegant gradient, or a textured pattern.
  • Use Slide Master: for more precise control over your layouts, go to View > Slide Master. From there, you can reposition text placeholders, add a permanent logo, or adjust list bullets across all the relevant slide layouts.

How to Create and Save a PowerPoint Theme

Creating your own theme is an ideal way to ensure your brand guidelines are consistently applied and standardize all your communication materials. Here's how to create and save your custom theme step by step.

1. Define Your Theme Colors and Fonts

To get started, open a blank PowerPoint presentation. This blank canvas will serve as the foundation for defining all the key elements of your visual identity:

  • Set your colors: go to the Design tab, then open the drop-down menu in the Variants group. Select Colors, then Customize Colors at the bottom of the menu. A window will open where you can define the exact colors from your brand guidelines for text, backgrounds, and the six accent colors. You can enter RGB values or use More Colors to enter specific color values. Give your color palette a clear name, then click Save.
  • Select your theme fonts: return to the Variants drop-down menu, select Fonts, then Customize Fonts. Define the font for headings and the font for body text. Give your font pairing a name and click Save.

2. Customize the Look and Feel

Once you've selected your colors and fonts, fine-tune the visual details that will give your slides their distinctive look:

  • Choose your effects: in the Variants menu, click Effects. PowerPoint offers several predefined graphic effect sets — from subtle to more pronounced — that are applied consistently to inserted shapes, lines, and diagrams.
  • Adjust the background style: under Variants, select Background Styles to define a default background color that will help your content stand out.
  • Check your layouts: go to the View tab and click Slide Master to check how your settings look across the different standard layouts. Discover in more detail how you can adjust your slide layout in PowerPoint

3. Save Your Theme

Once all your visual elements have been configured, it's time to save your work:

  1. Click the Design tab.
  2. In the Themes group, click the drop-down arrow to open the full gallery.
  3. Select Save Current Theme.
  4. A dialog box will automatically open in the local folder dedicated to Office templates. Enter your preferred file name in the File name field. The selected file type should be Office Theme (*.thmx).
  5. Click Save. Your custom theme will now appear under the Custom section of your PowerPoint theme gallery on that computer.

4. What Does a .thmx File Contain?

A .thmx file contains the visual settings associated with a theme:

  • the theme colors;
  • the theme fonts;
  • the associated graphic effects.

It is not a presentation template: it does not contain content slides, sample text, or the complete structure of a .potx template.

5. Reuse and Share Your Theme

To use your theme for future projects or share it with your colleagues:

  • Quickly reuse your theme: when you open a new PowerPoint file, go to the Design tab, open the theme gallery, and select your theme under Custom. You can also right-click it and select Set as Default Theme.
  • Share it with your team: simply send the .thmx file by email or upload it to your company's shared workspace. Recipients can open PowerPoint, go to Design > open the theme gallery > Browse for Themes, and select your file to apply it to their presentations.

Questions
Fréquentes

1

Is it possible to track the number of clicks on email signatures?

Yes, with the 'Campaigns' offer, it is possible to track the number of clicks on the email signatures of all your employees in the 'Statistics' area of the platform.

You can then access a detailed or global view of the number of clicks on the email signatures of each employee. You can use the search option to target a specific signature or a given period. Finally, you have the possibility to export all statistics to an Excel document.

If you launch campaigns with banners inserted in your email signatures, you can also access their performance via this same space.

2

Can we add links to social networks, our website, and appointment-setting applications such as Calendly?

With Letsignit, you can easily add social network icons in your collaborators' email signatures and link to your company pages. Also, our "attributes" feature allows you to manage personalized URLs for each of your collaborators such as their individual LinkedIn profile.

And that's not all: you can add links to an appointment-setting application, allow your customers to leave reviews easily, and integrate our 'Chat on Teams' widget to let anyone start a discussion via Microsoft Teams chat.

3

Can employees update their signature information themselves (number, function, etc.)?

It’s up to you! As an administrator of the Letsignit platform, you choose whether or not to grant modification rights to your employees. These permissions are managed on an attribute-by-attribute basis, which means that you can decide to allow the employee to change their phone number, but not the address of your premises, for example.

This feature applies to all attributes in your directory, including custom attributes created on Letsignit. When your employees change one or more attributes, your directory is obviously not affected.

4

Why it is important to standardize our email signatures on a large scale to ensure our identity and brand image?

It often happens that employees make their email signature their own: custom format, bad fonts, colors inconsistent with the brand standards... all of this has an impact on your brand!

A consistent visual identity is considered authentic and outperforms a perceived weak one by 20%. And, your customers are 2.4 times more likely to buy your products.

With Letsignit, take back control over your brand identity by standardizing all your email signatures. Our tool has many features that allow you to customize your signatures by department, by audience or by subsidiary. Not to mention the possibility of carrying out campaigns within your email signatures thanks to our Campaign offer.

What is the user experience like for our employees?

  • If you opt for the Letsignit Add-in for Outlook, they will have a dedicated space in their Outlook account where they will be able to view the signatures and campaigns assigned to them.
  • If you opt for the Letsignit Desktop APP, they will be able to preview all their signatures and campaigns in this space. If they want to change their default signature to another one when sending an email, this will be done in their signature library in Outlook.

In both cases:

  • They preview their signature before sending an email and choose from signatures assigned to them.
  • Based on the permissions granted, they will also be able to modify their personal information such as their name, position, or address in these spaces.

In short, they have autonomy in their email signature, but you keep control on the field, signatures, and banners they can edit or use.

6

Can my employees have multiple signatures available to them?

With our "multi-signature" feature, your employees can benefit from multiple email signatures. No technical manipulation is required. Thanks to our Add-in for Outlook or the desktop app, they can change their email signatures as they wish with just a few clicks.

7

Regarding “Green IT,” have you implemented measures to limit the digital footprint of email signatures?

If sending emails has an impact, non-optimized email signatures also have an impact. An unsuitable format or an image that is too heavy considerably increases the size of your signatures... and therefore, your emails.

As a responsible economic actor, we contribute to reducing our CO2 emissions and those of our customers in several ways:

  • Optimization of the weight of signatures and campaigns in emails.
  • Green features: lightening of signatures during response/transfer emails, possibility of not embedding images, implementation of lighter signatures for internal exchanges.
  • Integration of a 'Switch to Teams' widget to encourage your employees to continue their exchanges via chat, rather than email.

As we are increasingly involved in sustainability initiatives, our priority in 2023 is to develop even more green IT functionality.
